Who we are

ApplyJobs (“we”, “us”) runs this website, the job index and the ApplyJobs browser extension. For anything in this policy, contact [email protected].

What we collect

• Account: your name, email address and profile picture from Google sign-in, and the sign-in tokens Google returns, which we use only to sign you in.
• Sign-in sessions: a session token, its expiry, and the IP address and browser (user agent) used to sign in.
• Resume and profile: the resume you upload, the text we extract from it and a structured summary; your contact details and links; your standing answers (work authorization, sponsorship, salary expectations, notice period and similar); your choices for voluntary self-identification questions (gender, race, veteran and disability status — “decline” unless you choose otherwise); answers you save; and how you want open-ended questions and AI attestations handled.
• Job search: your job preferences, saved searches and their automatic-applying settings. If you paste a company’s job board link, that public board is added to our shared index, and we record that your account added it.
• Applications: each job you queue, the application form as we read it from the employer’s site, the answers we planned and submitted, any cover letter we wrote, and the receipt your browser reports (what was filled in and the confirmation the site showed).
• Payments: records of your purchases from Stripe — the pack, the amount, any discount and Stripe’s reference numbers. We never see or store your card details.
• Emails: a copy of each email we send you and whether it was delivered.
• Browser extension: for each browser you connect, a hash of its access token (never the token itself), a label, the extension version and when it last checked in. The extension keeps its token, the email of the account it’s connected to, its settings, the application it’s working on and its last 10 results (company, job title and outcome) in your browser’s extension storage.
• How you found us: the first time you visit our public pages, a first-party cookie (aij_attr) records the campaign tags in the link you followed (utm_source, utm_medium, utm_campaign, utm_term, utm_content), the site that linked to us (without its query string), the page you landed on and the time. If you create an account within 30 days, this is saved with your sign-up.
• Activity log: a record of account events — applications queued and their status changes, refunds, payments, extension connections, sign-up — used for support, accounting and abuse prevention.
• Page analytics (if enabled): we may use Plausible Analytics on our public pages — never inside the app — to count visits. It doesn’t set cookies; it records aggregate information such as the page, the referring site, the browser and the country.

How we use it

• To prepare and submit the applications you ask for — the links and boards you choose, and, if you turn on automatic applying, new postings that match your saved searches — to those employers.
• To draft answers and cover letters: we send the relevant parts of your resume, profile and saved answers, with the job posting and its questions, to our AI model provider, which processes them on our behalf to produce the text.
• To review your resume when you ask for a review: we send your resume text, and any target role or job posting you give, to our AI model provider to produce the suggestions, and keep the review in your account until you delete your account.
• To run the job index and search, which list public job postings from company job boards.
• To email you about your account and applications — for example when an application needs your answer or a quick check, when credits run low, or a summary of automatic applications. You choose which of these emails you get in the app.
• To bill you, prevent fraud and abuse, enforce usage limits and keep the service secure.
• To understand, in aggregate, which links and campaigns bring people to ApplyJobs, and to improve the product.

We don’t sell or rent personal information, don’t use it for targeted advertising, and don’t use your resume or answers to train AI models.

Who we share it with

• Employers you apply to. Each application — with the profile details, resume, answers and any cover letter it needs — goes to the employer through their Greenhouse, Lever or Ashby application form. From then on the employer and their job system handle it under their own privacy policies.
• Service providers that run ApplyJobs for us and process data on our behalf: our hosting and database providers, Cloudflare (which carries all traffic to this site), file storage (our own server or Cloudflare R2), our AI model provider, our email delivery provider, Google (sign-in), Stripe (payments) and, if enabled, Plausible (page analytics). We can tell you which companies these are on request.
• For legal reasons — when required by law, or to protect the rights, safety and security of our users and the service.
• In a business transfer — if ApplyJobs is sold or merged, under this policy’s protections.

A small number of people who run ApplyJobs can view account records when needed for support, refund reviews and abuse prevention.

Cookies and similar storage

• Sign-in cookies keep you signed in (up to 30 days without use), plus short-lived cookies that secure the Google sign-in step. They’re HTTP-only and can’t be read by scripts on the page.
• aij_attr — first-party, lasts 30 days, records how you first found us (above). It’s never sent to third parties, and the site works without it: you can delete or block it in your browser settings.
• We don’t use advertising or third-party tracking cookies.

How long we keep it

• Your account data — profile, resume, applications and receipts, saved searches, emails, credit history, payment records and activity log — until you delete your account. Stripe keeps its own payment records under its policies.
• Sign-in sessions end after 30 days without use.
• Job postings in our index are public information; postings that close are removed 30 days after they close.
• Copies in database backups are overwritten as backups rotate.

Your choices and rights

• View and edit your profile, answers, searches and email settings in the app.
• Withdraw your authorization for automated applications in your profile, or switch off automatic applying for any saved search — nothing new is submitted after that.
• Disconnect the browser extension from the Browser extension page, or remove it from Chrome.
• Delete your account at any time from the Account page. We delete your resume and cover letter files and your account data, including the activity log. Applications you already sent stay with those employers, and public job boards you added stay in the index without a link to you.
• Ask us for a copy of your data, to correct it, or to object to or restrict how we use it, by emailing [email protected]. Depending on where you live you may have further rights, including complaining to your data protection authority.

Where data is processed

Our service providers may process data in countries other than yours, including the United States. Where the law requires it, we rely on appropriate safeguards for those transfers.

Children

ApplyJobs is meant for adults looking for work. It isn’t directed at children under 16, and we don’t knowingly collect their data.

Changes

When this policy changes we update the date above, and for significant changes we tell you by email or in the app before they take effect.
